Reporting to the Branch Manager the Project Accounting Administrator will be responsible for assigned projects for contract administration services, including but not limited to review of terms and conditions, contract negotiation, subcontracting, purchasing, financial analysis and reporting, contract compliance, project audits, and any other business related support required by the Division Administration Manager.
KEY RESPONSIBILITIES:
Administration:
Ensures adherence to the corporate authority policy and facilitate approval process.
Develops and maintains complete and accurate contract files.
Develops and maintains effective relationships with customers to stimulate repeat business.
Respond in a timely, professional and comprehensive manner to project and client directives and requests involving financial information, contract compliance, subcontracting, procurement, cost proposals, project audit, project accounting, insurance, property and other administrative issues.
Perform as liaison between client, sales and subcontractors.
Responsible to Division Administration Manager for assuring that all purchases are performed in accordance with contract requirements, appropriate regulations and company policies and procedures in a cost effective, timely, and responsive manner.
Reviews and monitors project billing and accounts receivable.
Initiates on a cost-effective and timely basis and manages the coordination of contract close-out actions, including but not limited to:
final cost accounting;
subcontractor close-out;
claims; and
final project audit coordination;
Assist Division Administration Manager with training programs such as contract policies and procedures.
Review monthly accounting statements and advise on any necessary adjusting entries..
Ensure accuracy of monthly and year end GL and P & L statements.
Forecasting and budgets
Daily coverage of reception, filing and general admin
Ensuring daily cleanliness of office
QUALIFICATIONS
Degree from an accredited University or Post-Secondary Institution
Demonstrated skill in customer satisfaction and team effectiveness across all functional areas
Must be proficient in MS Office Suite specifically in Excel and Outlook (experience in SAP is and asset)
Highly organized and able to work within tight deadlines to achieve targets
Self-motivated with excellent leadership, communication and interpersonal skills
Self-starter and ability to work in a fast paced dynamic environment
Experience in the industry is preferred, but not necessary.
